Backup plan when EMR freezes at check-in

Our check-in line backed up at 7:45 this morning when our EMR froze mid-demographics verify and I had six patients with ID in hand; what’s your backup to capture consents, copays, and updated insurance without creating duplicate charts later? I’m torn between paper packets and a shared spreadsheet, but reconciling them into the record after the rush keeps spawning duplicate profiles.

When ours locks up, we slap a bold “DT-###” sticker on a half-sheet, put that same code on a paper consent and copay slip, and snap ID/insurance to a locked “Downtime” folder named with the code; later we search by name+DOB and file everything to the existing chart via that code so we don’t spawn duplicates. Small caveat: it only stays clean if one person plays ‘runner’ to assign numbers and collect the packets. Would a single runner during the 7:30–9:00 surge work for you?

, I know that chaos all too well! We’ve had some luck using a simple clipboard system where our staff jot down everything in real time, paired with a running list in a shared document to make reconciliation easier. It’s not perfect, but it reduces that duplicate chart nightmare you mentioned.
